Structure team context so people and AI agents can trace decisions, understand task ownership and distinguish verified facts from open questions.

A shared folder can store files, but a team also needs to understand which information matters now. Agent collaboration makes that distinction more visible: an assistant may receive the document without knowing which decision superseded an earlier plan.

Record decisions with their context

A short decision record can include the question, the chosen option, the reason, the date and links to supporting material. It should also state which assumptions remain uncertain. This gives the next person a way to evaluate the decision instead of treating a summary as unquestionable fact.

When the team changes direction, update the record and keep the relationship to the previous decision visible. A useful workspace should make current context easy to identify.

Give tasks an owner and a definition of done

A task description should identify the person responsible, the expected output and the evidence needed for review. “Research integrations” is difficult to hand off. “Compare two document connectors against our access requirements and link the official documentation” is concrete enough to evaluate.

Agent results should follow the same principle. The team needs to see what was checked, what was inferred and what the assistant could not verify.

Keep source links close to claims

A conclusion becomes more useful when someone can inspect its source. Link the relevant document, page or code location near the claim it supports. Avoid copying a large volume of material when a small excerpt and a source link will answer the question.

Sources can change. For information that depends on current product behavior, include the date of the check and recheck it before making a consequential decision.

Define what can be shared

Project context should have a clear audience. A document suitable for one team may contain information that should not move into another workspace. Personal notes should remain personal unless the owner deliberately shares them.

Apply the structure before adding automation

Start with one project and use the same small set of fields for human handoffs. Once the structure is useful to people, test whether an assistant can produce a handoff that another teammate can verify.
